Microsoft Excel has many wonderful features to offer the small business user. Excel is most widely known for its spreadsheet function, though it has numerous other uses. Spreadsheets are useful to any type of small business. For example, a spreadsheet can be used as an accountant's ledger or a professor's grade book. Invoices and budgets can be prepared with Excel and one might use it to balance a checkbook as well. Spreadsheets are extremely useful in the decision making process and the Goal Seek command can even be used to return user specific results. Another popular function of Excel is the ability to prepare and maintain lists such as vendor, customer or employee lists. The user can then use the Filter or Sort commands to produce results that meet a specific criteria. For instance, a tax preparation service might use these commands to return a list of customers who have not used their services for two years or more. They could then market specifically to those customers and perhaps offer them a discount in order to reacquire their business. In my experience, the process literally takes only seconds to complete and once the data is in Microsoft Excel, one can manipulate it as necessary. The ability to use functions and formulas to perform calculations and the ability to copy those functions and formulas throughout the workbook keeps the user from having to do repetitive manual calculations. No matter how wonderful the program is, it is only as good as the user who is inputting the information. The navigation aids at the bottom of the Peachtree screen provide easy access to all of the common daily functions. The greatest strength of Microsoft Excel is its ability to organize huge amounts of data in one easily accessible file. It also creates financial statements and reports for you automatically. Possibly another weak point of Excel is that it does too much of the work for the user. A frustration with the Peachtree program also arises when exporting data to Microsoft Excel. Using Microsoft Excel rather than keeping manual records is a huge timesaver. Peachtree also offers a website creator that can be used to design and maintain a website for your business. Peachtree creates invoices, receipts and credit memorandums. The ability to import and export data between the programs only increases the capabilities of the two. While it is wonderful to have that ability to export reports to Excel, it is discouraging that only the data conveys and all other headings and information must be manually entered into Excel.
